Bring your whole roster into ShowSculptor at once. Go to People, then Import Data (or click Import dancers on the Dancers page). Importing dancers creates their families too.
Import from Excel or CSV
Under Import Dancers, click Download template if you'd like a ready-made spreadsheet. You can also use your own file.
Click Upload file and choose your .xlsx, .xls or .csv file (up to 8 MB).
Match each ShowSculptor field to a column in your file. ShowSculptor matches common headings automatically, like "Student First" or "Parent Email". Choose (skip) for anything you don't want to import. First Name and Last Name are required.
Check the preview at the bottom, then click Import.
You can import first and last name, nickname, date of birth, family name, family email, two family phone numbers, two parents' names, medical info, alert and notes.
Good to know
Siblings are grouped automatically into one family when they share a family name (or last name) and family email.
Re-importing won't create duplicates. A dancer with the same name in the same family is updated instead.
But blank cells overwrite. When a dancer is updated, any field that's empty or skipped in your file is cleared. Include every column you want to keep.
Existing families aren't changed. Importing won't update contact details for families already in ShowSculptor. Edit those on the Families page.
Phone numbers outside the US and Canada need a + and country code, like +44 7700 900123.
Up to 5,000 rows per import. Title rows above your headings are skipped, and accented letters (á, é, ñ) are kept.
Import from Jackrabbit or Akada
First connect your account under Settings, then Integrations. A Jackrabbit or Akada section then appears on the Import Data page.
Jackrabbit: choose Active only, Inactive only or All, click Preview to see how many families and dancers will come in, then click Import Families & Dancers.
Akada: click Preview, then Import Families & Dancers to bring in accounts and students.
Both can also import classes as routines (and Akada recitals as shows). Import dancers first so they're linked to their routines.
It's safe to run again. Records are matched to Jackrabbit or Akada, so they're updated instead of duplicated.
Import from Legacy ShowSculptor
Moving from the original ShowSculptor? In the Legacy ShowSculptor section, connect with your legacy email and password, choose what to bring over (dancers, shows, routines and their assignments), click Preview data, then Import now. It's safe to run again.
Common questions
It says my file can't be processed.
Remove title rows, merged headings and images so the first row is your column headings, or start from the downloadable template.
Some rows were skipped.
Every dancer needs a first and last name. Rows missing either one are skipped, and a message shows which rows had problems.
