Scanning Backstage Passes and Barcodes

Print backstage passes with QR codes, send them to families for Apple Wallet, and scan passes, QR codes or parent wristband barcodes to check dancers in and out.

Every dancer, volunteer and staff member has a backstage pass with a QR code. Scan it at check-in to sign them in or out in a second. The same pass works for every show.

Print backstage passes

  1. Go to Reports, then Backstage Pass.

  2. Choose who to print By Show, By Routine, By Dressing Room or Individuals, and whether to include Dancers, Volunteers and Staff.

  3. Tick the people you want, then click Print.

  4. Print the PDF on Avery 5392 name badge sheets (4" × 3", 6 per sheet).

Each pass shows your studio logo, the person's photo and name, and their QR code.

Send passes to families

Click Email or Text to send each family a link to their dancers' passes. Families can show the QR code on their phone or add it to Apple Wallet.

Good to know: Email and Text send to families right away. Email works on every plan.

Text needs Messaging (Essentials or Production Pro) and uses message credits on ShowSculptor's shared number.

Scan to check in or out

  1. Open the show's check-in screen and click the scan icon in the top right.

  2. Choose Sign In or Sign Out.

  3. Hold the pass up to the camera, or scan it with a USB or Bluetooth barcode scanner. You can also type the ID and press Enter.

A green message and a ding mean it worked. You'll see a message if the person is already signed in, or a red message if they aren't in this show.

Parent wristbands and custom barcodes

Turn on Prompt for custom parent barcode at sign-in in Check-In Options. After a dancer signs in, scan the wristband to link it to them. At pick-up, scanning the wristband finds the dancer, or all siblings who share it.

Look someone up by scanning

Go to People, then Scan to Find Person, and scan a pass or family barcode to see that person's routines, shows, emergency contacts, medical notes and dressing rooms.

Common questions

The camera won't open.

Allow camera access for ShowSculptor in your browser. If the show is set to Barcode Scanner Only in Check-In Options, use a scanner or type the ID.

Can families use Google Wallet?

From the Performer Portal (Production Pro), yes. The pass page you email or text offers Apple Wallet only, so Android users can open the link and show the QR code on screen.
