There are two ways volunteers end up in a show: by helping with a routine that's in the show, or by filling a volunteer job like usher for that show.
Step 1: Set up your volunteer jobs
You only do this once. Go to Settings, then Volunteer Types, click Add Type, enter a name (like Usher, Backstage Helper or Check-In Table) and an optional description, and click Save.
Step 2: Add jobs to the show
Open the show and scroll to Volunteers.
Click Add Job.
Choose the Job type and enter How many needed.
Click Add.
Repeat for each job. Each job can be added once per show. Change the Needed number on the job anytime.
Step 3: Fill the spots
Click Fill Spot on a job and choose a volunteer. The job shows how many spots are filled and how many are still open.
Each volunteer can have one job per show. Volunteers already helping with a routine in the show, or already in another job, aren't listed.
Click the X on a volunteer's name to take them off the job.
Click the trash can on a job to remove the whole job from the show. This happens right away.
Volunteers helping with routines
Assigned through routines lists volunteers on a routine that's in this show. To change these, add or remove the volunteer on the routine's People tab.
Good to know
Each family's volunteer assignments are included in the Recital Confirmation report.
Volunteers assigned to routines in the show can appear at check-in when Volunteers is turned on under the show's Include in check-in options.
Want parents to sign up on their own? Use the Volunteer Signup Form under Encore (Production Pro, or Essentials shows with Encore). Approved signups fill these spots automatically.
