Lighting, Sound, Set/Prop and Video Notes

Add lighting, sound, set/prop and video notes to a routine, set how it starts and ends, build a cue list, attach lighting looks, and print production reports for your crew.

Everything your lighting designer, sound tech, stage crew and videographer need for a routine lives on its Technical tab.

Add notes

Click into Lighting Notes, Sound Notes, Set / Prop Notes or Video Notes and type. Use the toolbar for bold, headings, bullet lists and links. Notes save automatically when you click out of the box.

Ideas for each one:

  • Lighting: colors and mood, specials, blackouts, spotlight moments

  • Sound: track name and length, music cuts, fades

  • Set / Prop: what's preset on stage, what gets carried on and off, and who strikes it

  • Video: shots you want, like a wide shot or a close up on a soloist

Routine Start and Routine End

Choose how the routine begins (for example On Stage or Enter w/ Music) and how it ends (for example On Stage Pose or Curtain Close). This helps your crew plan the transition between routines. It saves as soon as you pick.

Build a cue list

  1. Click Add cue.

  2. Choose the Type, like Lighting, Sound or Curtains.

  3. Enter the Cue # your crew uses, a Description of what happens, and the Placement (when it happens, like "On first count" or "At 1:32").

Cues save as you go. Use the up and down arrows to change the order, or the trash can to delete a cue.

Lighting looks

A lighting look is a picture of the stage colors you want, built in Light Lab (under Encore: Production Pro, or Essentials once any show has Encore) and saved to the routine. Click a look to view it, download it as an image, or open it in Light Lab to edit.

Print notes and cues for your crew

Go to Reports, then Stage Management, and pick a show:

  • Production Report: lighting, sound, set/prop, video and costume notes for every routine, in show order

  • Lighting, Sound, Set/Prop or Video Notes Report: just one kind of note, in show order

  • Cue List by Show or Cue List by Routine: every cue, as a PDF or Excel file
