Instead of chasing volunteers, share one link and let parents sign up themselves. You approve each request before anyone is assigned. Go to Encore, then Volunteer Signup Form.
Which plans: The Volunteer Signup Form is part of Encore. On Production Pro it lists all your shows. On Essentialsit only lists shows you've added Encore to. It isn't available on Free.
Set up the form
On the Form Setup tab, make sure Form is live is on.
Write a Message at the top of the form to welcome parents and explain what volunteering involves.
Under Shows on the form, choose All upcoming or Specific shows. Only shows with open spots appear.
Under Positions on the form, choose which volunteer jobs to offer (All, None or Specific).
Under Routines on the form, choose whether parents can offer to help with a routine instead.
Click Save.
Click Copy to copy the link and share it with families, or Preview to see the form.

What parents do
Parents enter their name, email and phone, tick the shows they can help with, and pick one job or routine for each show. Then they click Sign up to volunteer.
Approve signups
On the Signups tab, new requests are under Waiting for approval. Click Approve or Decline.
Approving adds the parent as a volunteer (or matches them to an existing one by email or name) and fills the job or routine spot they chose.
If a spot filled up in the meantime, you'll see a message so you can follow up.
Good to know
The link name is created from your studio name. Production Pro studios can change it on the Performer Portal page.
On Essentials, the form only lists shows that have Encore added. On Production Pro, it lists every show.
Turn off Form is live to close signups.
